Payment Posting and Reconciliation: Building a Visible Workflow

Payment activity can look complete while important exceptions remain unresolved. A visible workflow connects the available remittance information, posting action, variance review, adjustment authority, remaining balance, and next follow-up owner.

01

Define what marks a posting item ready

The team should know which remittance, payment, account, payer, and deposit information is required for the agreed posting process. Missing or conflicting inputs should move to an exception route rather than being silently carried forward.

02

Make variances and authority visible

A variance may require research, a payer follow-up, an approved adjustment, or another client decision. Status should distinguish operational research from decisions that remain with authorized financial or practice leadership.

Connect the remaining balance to its next workflow

After posting, the account may be resolved, ready for secondary activity, dependent on payer processing, or assigned to another follow-up route. A documented handoff makes the remaining work visible.
