Safeguards and responsibilities

Security

Application safeguards for website inquiries and applications, their practical limits, and the responsibilities surrounding hosting and client data.

What this security description establishes

The website includes separate public forms and an authenticated staff dashboard. This page describes application safeguards; their effectiveness also depends on installed settings, hosting controls and staff practices. It is not an independent audit or certification. Public business and recruiting channels are not approved for protected health information, and they do not establish a HIPAA-ready clinical system.

Staff access and sessions

The dashboard checks both account permissions and assigned business or recruiting access on the server. Passwords are verified against hashes. Sessions expire after inactivity and have an absolute lifetime; account or password changes revoke existing access. Production cookies require HTTPS and are restricted from client-side scripts. This website implementation does not itself provide multi-factor authentication or single sign-on.

Submission and database controls

Forms enforce field limits, permitted choices, origin checks and abuse limits. Prepared database statements separate submitted text from database instructions. A receipt is returned only after the submission and its queued delivery records commit together. Retrying the same unchanged request returns its existing reference. Delivery failures do not remove the saved record or require a visitor to submit it again.

Optional CV storage and retrieval

PDF uploads have size, filename and file-type checks. Accepted CVs use randomized storage names outside public website directories. Download requests require an authorized staff session and application access; files are returned as attachments. They are not placed in public links, emails or Google Sheets. File-type checks do not establish that a document is malware-free; staff must use appropriate endpoint protection and safe handling.

Limited notification and spreadsheet data

Email notifications carry only a reference and private dashboard link. The Google mirror excludes CVs and internal notes and separates applications from business inquiries. Destination settings and webhook secrets stay server-side. A spreadsheet retry updates the matching reference; ambiguous email handoffs require review rather than automatic resending. Spreadsheet access must also be controlled in Google.

Hosting and infrastructure responsibilities

The production application requires HTTPS. Hosting responsibilities include certificate management, private storage boundaries, server configuration, patching and administrator access. Encryption at rest, backup protection, restoration, monitoring and provider incident procedures depend on the deployed services and their operating arrangements. This application overview does not establish those provider assurances or promise end-to-end encryption, continuous monitoring or guaranteed availability.

HIPAA responsibilities for a client engagement

Billing and related work involving protected health information can create business associate obligations. Before that work begins, the parties must assess their roles, permitted uses, necessary agreements and approved systems. Applicable HIPAA duties include safeguards and risk analysis; a signed agreement alone is not proof that these duties are met. Subcontractor responsibilities also require review.

Pakistan operations and geographic risk

Offshore access must be considered explicitly when agreeing to client work. HHS cloud guidance does not impose a blanket U.S.-only location rule, but identifies geographic and enforceability risks that belong in the required risk assessment. Client contracts, payer restrictions and other applicable laws may impose additional limits. An office location or general website statement does not authorize access to client records.

People, retention and ongoing responsibility

Safe operation also needs assigned owners, staff training, access reviews, documented retention, secure disposal and an incident plan. These responsibilities extend beyond form validation. Operating arrangements must identify who controls exports, spreadsheet sharing, departing-staff access and deletion across separate copies. Client due diligence should examine the applicable evidence and responsibilities rather than treating a website description as proof that every organizational control is complete.

Report a security concern

Contact info@shanmedtech.com with the affected page, approximate time and a brief description. Include a submission reference if relevant, but do not send patient information, passwords, CVs or copied records as evidence. Stop if investigating would expose someone else’s data. Incident assessment, notification obligations and any response times depend on the facts, applicable law and relevant contracts; no automatic deadline is promised here.
